Terms & Conditions of Sale (T&C)

A) T&C for all kind of Train Tickets (1-14) excluding Train and Coach hire 2018.01.31

  1. Agreement to Conditions:
By purchasing a ticket(s) to travel on a train run and operated by Reefsteamers you, together with all the members of your party, will have automatically acknowledged that you have read all the Terms and Conditions and the limitations of liability relevant thereto, and will be deemed to have accepted them without alteration. You will also be deemed to have informed all the members of your party of the content and importance of these terms and conditions. Adults who purchase tickets on behalf of minor children will be deemed to have the legal authority to accept these conditions on their behalf.

2. Delivery Policy: Whilst Reefsteamers will use its best efforts, and all reasonable endeavours, to run its services in accordance with the published schedule, however, this may not always be possible. Reefsteamers runs over tracks belonging to either Transnet or PRASA. In terms of an access agreement signed with those companies, the acceptance and passage of heritage trains is neither company's highest priority. In light of these facts, the purchase of your ticket is subject to theses terms and conditions.

3. Booking and boarding Policy: Remember that all seats and compartments are allocated on a first PAID basis, not on a first booked basis. Please realize passengers cannot board the train without a ticket or confirming payment.

After we have received your payment we will send you a booking confirmation via e-mail (to the email address you give us). With this confirmation you can board the train using your email as your ticket.

Kindly note that payment is required within five days of booking to confirm your seat(s), if the we do not receive your payment within 5 days and we have a waiting list, your provisional booking will be removed from the booking list.

All provisional bookings will be removed from the booking list, a week (seven days) after booking, if payment is not received.

4. Refund Policy: Once a payment is made, no refund will be issued under any circumstances unless the service is cancelled by Reefsteamers. The provision of an alternative steam loco, diesel or electric locomotive or late running due to such change or for any other reason will not constitute a cancellation of the service for these purposes. Should it is deemed necessary that a refund be given it will not exceed the ticket price actually paid by the purchaser and Reefsteamers reserves the right to deduct any expenses it has incurred in the processing of the original payment (i.e. bank commissions and fees etc.) and shall not be liable for any additional loss (including consequential loss) caused by any delay and/or cancellation of the service, or for any missed connection due to late running or closure of the railway.

  5. Off Train: The venues, side tours and other off-train facilities are not operated, nor under the direct control of, Reefsteamers. We will use our best efforts to ensure that the venues and their service are of a suitable standard, but we cannot be liable for problems at venues, or on side tours or off-train facilities.

6. Customer Data Privacy Policy: It is understood, and intended, that no data - telephone or cellphone contact details, e-mail addresses, name addresses or any other personal information be released or divulged on a public basis, and that the data thus provided will remain the property solely of Reefsteamers and/or its agents and/or employees, unless specifically asked to do so.  Safety and Security Policy

7. Passenger Conduct: Anti-social conduct, including drunkenness, will not be tolerated and may result in the offender being removed from the train. Passengers are also required to comply with any request from the train staff relative to train management and safety.

8. No Smoking: For the safety and comfort of our passengers, smoking is not permitted anywhere on Reefsteamers trains. This conforms with Government regulations regarding smoking in public places. Also, in our case we have valuable wooden coaching stock (thus presenting a fire risk) and often travel when environmental conditions are such that there is a great risk of bush fires. Line-side fires may cause delays to our trains and can cause damage to our rolling stock and to the property of others. As a heritage operation we try to be in partnership with the people who live and farm alongside the lines we travel over. Reefsteamers reserve the right to evict the offending passenger from the train and impose fines where applicable under the the terms of the government no-smoking policy. We really appreciate your efforts in not smoking on our trains.

9. On Board Safety: Please take great care if you cross from one coach to another. Do not stand in the walkway, but cross quickly from one coach to the next. Bare feet are a great risk, so you are required to wear shoes or sandals at all times whilst on the train. No "heelies" or skates are allowed. In addition, some station areas where we stop may be littered with broken glass, thorns and other sharp objects which could cause serious injury to bare feet.

10. Detraining (disembarking): Passengers may not 'detrain' at any point on the journey except when authorised by Reefsteamers personnel. Passengers must detrain carefully, especially where there is no high-level platform and passengers have to disembark with the use of steps provided. Make use of the help and advice of the Reefsteamers staff when detraining. Once off the train, passengers must be aware that they are on the premises of a real working railway. Passengers must watch out for other trains which may approach silently (electric Metro trains are surprisingly silent). Passengers may not leave the established public area (station or platform) nor cross over or loiter on any railway tracks. Use the footbridges and underpasses where provided or cross tracks only under direct supervision of qualified staff.

11. Windows: Leaning out of the windows whilst travelling is dangerous not only because of the possibility of falling out but also because, in some places, the line-side tree branches and vegetation are not regularly cut back and can cause injury to projecting body parts. Smaller children, by virtue of their size and shape and their ability to climb on seats and arm rests, are especially vulnerable to overbalancing. Parents must take extra care and ensure that windows next to children are not fully opened.

12. Children: Children must be accompanied throughout the journey by a responsible adult. Parents, adults and other carers accompanying children are reminded of their responsibility and the need to adequately supervise and control those in their care. In particular children should not be allowed to run in coaches or along the length of the train.

13. Wet or Cold Weather: Reefsteamers takes absolutely no responsibility whatsoever for any inconvenience, damage, injury or loss of any nature or any difficulties arising from adverse weather conditions. During periods when thunderstorms or inclement weather can be expected, passengers should ensure that they bring suitable protection such as umbrellas and raincoats. Our trains are not heated, so please bring adequate travel blankets and warm clothing for the early morning starts and late afternoon returns in the winter months.

14. Transaction / Payment Currency: All sales of tickets will be performed in South African Rand (ZAR) and will be converted as such from any foreign exchange at the time of payment. The asking price is quoted in ZAR (South African Rand).          


B) T&C for Coach and Train hire (B1-B2) 2018.01.31

B1. For coach hire (on regular steam trains):
- Latest 14 days before the confirmed operating date, the full amount has to be paid.
- If the full payment does not arrive latest 14 days before the confirmed operating date, your booking will be cancelled and the already paid deposit will be not returned. (thereof excluded are last minute requests and last minute bookings)

Last minute Coach hire bookings (on regular steam trains):
- If we receive your request shorter than 14 days before your chosen operating date: the full amount has to be paid within 24 hours after you received our confirmation


B2. For Train hire:
With your transfer of the deposit, you agree to Reefsteamers booking conditions.

Booking:
Upon written request via email and subject to availability, we will provisionally book you on the chosen tour. Space is allocated and held.  Upon receipt of a written confirmation via email and a completed Reservation Form, final confirmation details and an invoice will be sent to you. Upon receipt of the relevant payment, your booking on the chosen tour will be confirmed.

The prices are for the train journey only and do not include any other costs, such as meals, liquid refreshments etc (except train hire).

Payment Schedule:
-
A 15% deposit for single bookings up to 4 guests, Final payment is due no later than 8 weeks prior to departure.
- A 25% deposit/incremental payment of the tour price is required to confirm the reservation for groups larger than 4 guests. Final payment is due no later than 8 weeks prior to departure.
- Bookings for more than 10 guests: A 20% deposit/incremental is required to confirm the reservation. Final payment is due no later than 8 weeks prior to departure.
- Booking of a private train charter: A 50% deposit/incremental is required to confirm the reservation. Final payment is due no later than 8 weeks prior to departure.

Last minute Train hire bookings:
- If we receive your booking request shorter than 8 weeks before your chosen operating date: the full amount has to be paid within 24 hours after you received our booking confirmation

Price changes:
All Reefsteamers Tours are long time projects and have to be organized long in advance. It may happen that price changes are necessary:
- higher transport costs (fuel taxes and rail access taxes)
- new and raised (fees and charges)
- government decreed price rising
- changed exchange rate
Reefsteamers will announce the price changes latest 30 days before the start of the tour. If the price change is higher than 10% of the original price, you will have the right to cancel your booking, in written and latest 5 days after you received our price change announce. These cancellations are free from admission fees.

Cancellation Policy:
In case of a cancellation made by you, Reefsteamers will charge the following admission fees (days before the tour start):
84 days or more 15% of the total price, 83-60 days = 25% of the total price, 59-40 days = 50% of the total price, 39 days or less (or no show) = 100% of the total price.

If you fail with the Payment Schedule rules, Reefsteamers can cancel your reservation; in this case no refunding of already paid amounts would be possible.

If you have to discontinue the tour, Reefsteamers cannot refund the tour price. Our local tour guides will, when ever possible, assist you if you need some help.

If the tour would be cancelled by Reefsteamers, already received payments, will be returned in full.
Reefsteamers can cancel the tours in the following cases:
- The minimum participants are not reached, in this case Reefsteamers is able to cancel the Tour until 30 days before the tour start, additional compensation is excluded
- In cases of political rumours, disasters or other circumstances who are dangerous for our guests, a cancellation can be made in short therm before the tour start. In this cases Reefsteamers will be authorized, already made payments, can be dedicated from the payment which Reefsteamers was to return

Travel insurance:
Cancellation insurance is compulsory and will not be waived

Scheduling Times, Routes and Excursions:
Reefsteamers cannot be held liable for any delays due to trains not running to schedule. All details of the tour are subject to change due to exterior influences and the original tour cannot be performed. Departure and arrival times are approximate and cannot be guaranteed. We reserve the right to alter our routing at any time between departure and arrival points. All information on the tour is assembled based on quotations of the various rail operators, and other travel agency. Agenda items are subject to change with or without notice; on such changes Reefsteamers has no control. Because of such changes Reefsteamers cannot held accountable. Reefsteamers further reserves the right to cancel or amend any sightseeing excursions or the tour departure dates provided they can offer the passenger alternative sightseeing excursions or departure dates. There will be no refunds for any part of the tour that might be missed due to personal reasons. Please make sure you allow enough time to reach your home flight and your travel insurance covers such contingencies.

Passport and Visas:
All tour participants must have a valid passport that has at least (from date of entry) 6 months validity. The passport holder is responsible for the possible acquisition of a visa for the destination country. Please also check possible visa restrictions.

Health:
The tour participants will need to have good health, Reefsteamers is not responsible for participants who attend weakened or sick with the tour. For safety reason, Reefsteamers reserves the right to exclude participants with health problems from the tour. For the duration of the tour, you are responsible to take a appropriate travel insurance. Reefsteamers cannot be held responsible for any medical problems, injury, loss or damage during the tour.

Photography and video / TV recordings:
Reefsteamers
reserves the right to use any photography / film taken by our staff / hired professional company on the tour, for general publicity purposes without notice, payment or permission.

Currency and on/off train payments:
Prices are in South African Rand (ZAR) within South Africa and Namibian Dollars in Namibia (NS$).
On board consumption can be accounted and be paid at the end of the tour.
The most places we visit accept the general credit cards.

Excluding passengers from the tour:
Reefsteamers reserves the right to exclude participants from the tour, if a participant's behaviour interferes with the other party and / or the tour and / or affect the implementation of tour.
In case of a exclusion, the excluded participants would have to organize their own return journey. In any case no re-funding will be possible. The conditions will be deemed to have been accepted and will be in force upon confirmation of the booking.

D) Refund Policy for Train and Coach hire:


If you have to cancel your booking, following conditions apply:

1. For train hire:
Until 8 weeks before your chosen operating date we will charge 25% of the original costs, as administration fee
Between 8 and 6 weeks before of your chosen operating date we will charge 50% of the original costs
Between 6 and 4 weeks before of your chosen operating date we will charge 75% of the original costs
Between 4 weeks or less before your chosen operating date: 100% of the original costs will be charged

2. For coach hire (on regular steam trains):
Until 14 days before your chosen operating date we will charge 15% of the original costs, as administration fee
Between 14 and 11 days before of your chosen operating date we will charge 50% of the original costs
Between 10 and 6 days before of your chosen operating date we will charge 75% of the original costs
5 days or less before your chosen operating date: 100% of the original costs will be charged

3. If Reefsteamers has to cancel your booking:
Reefsteamers will offer you alternate trip dates.
